Don’t Forget the Planner!

One of the great benefits of having your wedding at a hotel is that there is typically an “on-site coordinator” to assist you during the planning process and on the day of.  I am that coordinator.  I have a list of vendors that I can refer you to.  I can help with your timeline of events during the cocktail reception.  I can set out your escort cards and favors.  I am there to ensure your food and beverage is served piping hot and on time.  And I will make sure your wedding party knows when it’s time to give a speech and where the microphone is located.  There is a lot I do during the reception to ensure that the event runs smoothly. 

However, for anyone that has been involved with the wedding planning process, they know that a wedding is much greater than the just the six hour reception.  There is the vendor contract negotiation, the day-of time lines, the coordination of the photographer, the paying of the vendors, the transportation, and the list goes on and on.

This, my friends, is where a wedding planner will become your best friend and best gift that you could give yourself for your wedding.  Most weddings are spending an average of $25,000 and 12 months of planning for their wedding day.  Imagine spending all of that money and time just to run around and not have the time to enjoy it.  Hire a wedding planner, and that becomes their job. 

Here is a list of pros to having a wedding planner on the day of your wedding:

Full Timeline Preparation and Execution:
Wedding planners will help build a timeline for the entire day.  They will be with you from the early morning helping to coordinate who gets their hair done first and who’s on deck for makeup.  Staying on track from the early morning will help to ensure your entire day runs smoothly.  Do you really want to worry about tracking down your Grandmother to get her corsage pinned an hour before you are walking down the aisle?

Vendor Coordination:
Wedding planners will assist in coordinating all of your vendors on your wedding.  Between the venue, transportation, décor, photographers, hair, makeup and entertainment, you could have up to 7 – 10 points of contact on your big day.  Your main concern on your wedding day should be looking cute while crying happy tears, not whether or not the limo will show up.

Photography Coordination:
At the end of it all, when the last glass of champagne has been drank and the dancing shoes have been put away, you have the photographs to last you a lifetime.  Photographers will typically request a list of all of the photos you’d like to have taken on your wedding day.  Your wedding planner will be there to wrangle in your bridal party and family to ensure these once in a lifetime moments are captured on film.

Final Payments and Gratuities:
Often times there are vendors who will receive final payment the night of the event, or there may be gratuities you would like to give to your vendors once services have been rendered.  You and your family should be on the dance floor surrounded by all of your guests dancing the night away.  Leave it to the wedding planner to hand out these envelopes so you can enjoy the party.

End of Night Wrap Up:
As the reception draws to a close, you will want to kiss your guests goodbye and head up to your suite to put your feet up and reminisce about the day.  Wouldn’t it be nice to know that all of your gifts, envelopes, framed family photos, guest book and other items you provided for the reception are already in the room waiting for you?  Let the wedding planner take charge and gather everything up!
